Ezitech builds housing society management software for societies and developments in Pakistan: plot files with their full transfer history, member dues and instalments, receipts that land in one ledger, and recovery reports the office can trust. The platform runs on EziERP, our ERP system, and we have delivered it for a live development. If your records live in Excel today, this page explains what moving them involves.

Why spreadsheets stop working for societies

A society runs on three questions: who owns which plot, who has paid what, and who is allowed through the gate. Most start with Excel, and most reach the day a member arrives with a receipt the office file does not show. Both sides are sincere, and nobody can prove anything, because four people have edited the spreadsheet and nobody kept versions.

  • A plot is a file, not a row. Over its life it collects an original allottee, transfers, a possession date, rescheduled instalments, late development charges and waived surcharges. That history decides who is right in a dispute.
  • Transfers are a process, not a field. Dues clearance, NOC, transfer fee and approval sit between seller and buyer. Editing an owner name loses every step that mattered.
  • Instalments reschedule. Members fall behind, negotiate and restart. A system that assumes a fixed schedule cannot show reality by month four.
  • Receipts come from several places: the office counter, bank deposits and field collectors. If they do not reach the same ledger the same day, the society has two versions of the truth again.

What the software holds

Module What it covers
Plot records The full file, not just the row: allotment, transfers, possession status, and the documents attached to each event
Member dues Instalment plans, payments, surcharges, and the arrears position of any member on any date
Receipts Issued against the member account, so the ledger and the receipt book cannot drift apart
Reporting Recovery position, defaulters, and collections by period

For the gate and front desk, a visitor management system can sit alongside it. For rental buildings and malls, see our property management system.

Delivered for Nest City

Nest City came to us with the two problems most developments have: records kept manually, and no credible public presence for a development that was actively selling. We built both halves: the society management platform on EziERP, and the public website. A buyer choosing between two societies looks both of them up, and one without a credible site loses before the conversation starts. Read the full story in our society management software case study.

Moving years of old records

The hardest part is not the software. It is the data you already have in spreadsheets, registers and one person’s memory. Three rules make the move survivable:

  1. Freeze a date. Everything before it comes in as an opening balance, not a rebuilt transaction history. Re-entering ten years of entries is rarely worth the cost.
  2. One person decides disputes. When two records disagree, someone with authority rules. Developers cannot make that call for you.
  3. Reconcile before go-live, not after. If opening balances are wrong, every report afterwards is wrong, and trust in the system never recovers.

Five questions to ask any society software vendor

  1. Show me a plot file with a transfer in its history. What does the screen look like?
  2. A member paid half in cash at the counter and half by bank transfer. Walk me through it.
  3. A member defaulted for eight months and renegotiated. How does the new schedule sit beside the old one?
  4. Who can waive a surcharge, and where is that recorded?
  5. What does the member see: a portal, an SMS, or nothing?

A vendor who answers all five from a running system has built this before. One who answers from a slide deck has not. Ask us the same questions.

Frequently asked questions

Does the software handle plot transfers?

Yes. Transfers are recorded as events in the plot file, with the documents attached, so the full ownership history stays visible.

Can it track instalments that were rescheduled?

Yes. Instalment plans, payments and surcharges are kept per member, and the system shows any member’s arrears position on any date.

Do we have to re-enter all our old records?

No. We usually freeze a date and bring earlier history in as opening balances, reconciled before go-live.

How much does it cost?

It depends on the number of plots, how your records are kept today and how much data has to move. Tell us your current setup and we will tell you what the move involves and what it costs.

Can you also build the society’s website?

Yes. For Nest City we built both the management platform and the public website.

Start with how your records are kept today

The sign that it is time is usually not size. It is a dispute you could not settle from your own records. Tell us how your plot files and dues are kept now, and we will tell you what moving them would involve. WhatsApp or call +92 345 5555396, email info@ezitech.org, or use the quote form. Our office is at Office #304-G, Amna Plaza, Main Peshawar Road, Rawalpindi, Monday to Saturday, 10:00 to 18:00.
