We built ELIMS, LIMS software for the IE&I Inspection Department of the Pakistan Army at Chaklala, which tests tablets, capsules and medicines before they reach the market. The department now creates and runs all of its HPLC tablet testing in ELIMS. Instruments send their readings straight into the system and reports come together on a single page.

The client

The client is the IE&I Inspection Department, Pakistan Army, Chaklala. The system was procured by DGP (Army). The department works in pharmaceutical quality control and runs a Chemical Lab, a Micro Lab and a Physical Lab, with HPLC used for tablet testing.

ELIMS sits on our POS and ERP base, with laboratory modules built on top.

The problem

A medicine testing lab lives on hand-offs and traceability. Three things made that hard:

  • Each sample passes through many people: the sample room, the issue authority, the analyst, the reviewer and the approver. Every hand-off had to be visible.
  • Instrument readings had to land on the right test and the right formula. Retyping them caused delays and errors.
  • Specifications, methods, standards, reagent lots, calibration, signatures and deviations all had to be traceable when a report was reviewed.

What we built

Samples and the sample room

Samples are registered with generic name, batch and supplier, grouped, and tracked for stock and expiry on a sample room dashboard.

Tests, batches and the log book

Tests are defined per sample type and assigned in batches. Log book entries, analyst queues and test states are kept in one place.

HPLC and instrument data

Instruments push readings to the system through a reading API. Formulas calculate the results and the instrument’s own PDF is attached to the test.

Pre Test Report and Sample Testing Report

The PTR fixes the test name, specification and method before testing starts, with verify, approve or reject steps. The STR gathers the results and remarks and prints as a PDF after approval.

OOS, deviations and CAPA

Out-of-specification results and deviations are logged with their reasons and answered through recorded replies. Corrective and preventive actions are tied to an instrument or finding, assigned to a person and tracked to closure.

Instruments, methods and standards

Each instrument has its own page with calibration details, utilisation logs, CAPA, deviations and a printable QR label. Test methods, reference standards, reagents with lot numbers, pharmacopoeia references and SOPs are managed with demand, approval and issue logs.

Signatures, audit trail and daily summary

Reports carry electronic signatures when created and approved, and an audit log records actions by module, including printing. Role dashboards, built-in backups and a daily WhatsApp summary of the previous day’s samples, PTRs, tests and STRs complete the system. For other lab or ERP needs, see our custom software development page.

How it works

  1. Receive: the sample is registered with batch and supplier.
  2. Plan: the PTR fixes tests, specification and method, then is verified and approved.
  3. Issue: standards, reagents and the test batch go to an analyst.
  4. Test: the HPLC run is performed and readings are pushed to the test.
  5. Calculate: formulas produce the results and the instrument PDF is attached.
  6. Approve: the STR is reviewed, approved or rejected, and printed with signatures.

What changed

  • All tablet testing with HPLC is created and performed in ELIMS.
  • Instruments are synchronised with the system, so readings are not retyped.
  • Results and reports for the laboratory sit on a single dashboard and report page.

Photographs on this page are illustrative and do not show the client’s laboratory.

Questions

What is LIMS software?

A Laboratory Information Management System manages samples, tests, instrument data, approvals and reports in one place, so every result can be traced back to its sample, method and analyst.

Can instruments send results directly?

Yes. In ELIMS instruments push readings through a reading API, formulas calculate the result, and the instrument PDF is attached to the test.

Does it handle OOS and CAPA?

Yes. Out-of-specification results, deviations and corrective and preventive actions are logged, linked to the finding and tracked to closure with replies and status.

Is ELIMS GLP or GMP certified?

No certification is claimed. The system supports the record keeping that GLP and GMP style procedures rely on, but compliance depends on the laboratory’s own procedures.

Can you build a LIMS for our laboratory?

Yes. Tests, specifications, instruments, roles and approvals can be configured, or custom modules added, for pharmaceutical, food, chemical and analytical labs. See also our ERP software.
