School Management Software: Lessons From Building EZISE

School software is bought by an administrator and used by a clerk, a teacher and a parent. The administrator sees the demo. The other three live with the consequences. That gap explains most failed school systems in Pakistan.

This is what we learned building EZISE, an online school management system covering admissions, attendance, fee cycles and result cards — and what we would tell a school principal to check before committing.

The four things a school actually runs on

Admissions. Enquiry, form, test or interview, offer, fee deposit, enrolment. Most schools lose track between enquiry and enrolment, which is the exact point where a parent is deciding between you and another school.

Attendance. Easy to describe, hard to sustain. If marking a class takes a teacher more than a minute, it will be filled in at the end of the week from memory, and the data becomes fiction.

Fees. The part that pays for everything else. Monthly and quarterly cycles, sibling discounts, scholarships, partial payments, late fines, and the arrears list the office chases every month. Fee logic is where generic products usually break first.

Results. Marks entry by subject teacher, weighting, grading scale, and a result card that prints the way the school has always printed it. Schools are rightly unwilling to change the look of a document parents have kept for twenty years.

Where schools in Pakistan differ from the software

Fee structures are per school, not per product. Two siblings on different discounts, a scholarship covering tuition but not transport, a family paying three months in advance. A product with one discount field cannot express this.

Sections matter. Class 7-B is a real unit with its own teacher, timetable and attendance. Systems that model only a class and not a section create daily friction.

Parents are not online in the way vendors assume. A parent portal with a login is used by a minority. An SMS when a fee is due or a child is absent is read by almost everyone. Design for the second.

The result card is a document, not a screen. It gets printed, signed and handed over. If it does not print correctly, nothing else about the system matters to a parent.

What we built

EZISE brings admissions, attendance, fees and results into one system that both office staff and parents touch.

  • Admissions — enquiry through enrolment, with the stage each applicant sits at visible
  • Attendance — per section, fast enough to mark during roll call
  • Fees — cycles, discounts, scholarships, partial payments, fines, and the arrears position per student
  • Results — marks entry, grading, and result cards that print the way the school expects

The design principle throughout was the clerk at the counter, not the administrator in the demo. A fee receipt issued in under thirty seconds with a queue waiting is worth more than any dashboard.

The parts schools underestimate

Starting mid-session. Schools rarely switch in August. They switch in November because the current arrangement broke. That means migrating a half-finished fee year and half a term of attendance. It is doable, but the opening balances have to be right.

Teacher training. Office staff get trained because they are in the office. Teachers get an email. Then marks entry stalls at result time. Budget an hour with teachers before the first assessment, not after.

Who can change a fee. A discount granted verbally by the principal and entered by a clerk, with no record of who approved it, is how fee registers lose credibility. Decide the approval rule before go-live.

Five questions before you buy

  1. Show me a sibling discount and a partial scholarship on the same family.
  2. How long does marking attendance for one section take, in clicks?
  3. Can the result card be made to match ours exactly?
  4. What do parents receive, and through which channel?
  5. If we start in November, what happens to this year’s fee records?

On budget, school systems vary widely with scope and student count. We keep the ranges in school management software price in Pakistan, and the feature detail in the features that get used.

If you run a school

The honest test of school software is not the demo. It is the first fee cycle and the first result day. Ask any vendor to walk you through both, using a school that is live today.

You can read about the platform on our school management system page, see other delivered systems in our case studies, or describe how your school runs today and we will tell you what moving it would take.
