We built a custom security guard ERP for Safety & Security Services (SSS), a licensed guarding company in Pakistan. It keeps more than 8,000 guards and supervisors on one system, from the day a guard is recruited to the day salary reaches the bank. All twelve SSS offices work on the same data, so head office sees what every branch sees.
The client
Safety & Security Services (Pvt) Ltd is a private security and guarding company licensed by the Ministry of Interior in 1992. Its field force is drawn from ex-servicemen of the armed forces. The head office is at Eamaan Tower in Rawalpindi/Islamabad.
SSS runs four regional offices (Karachi, Lahore, Peshawar and Quetta) and seven branch offices in Hyderabad, Multan, Faisalabad, Abbottabad, Gilgit-Baltistan, Mirpur and Muzaffarabad. That is twelve offices serving clients across the country.
The problem
A guarding company of this size is a people business first. Every guard has a service record, documents, next of kin, training history, a bank account and a current post. Keeping that accurate across many cities was the first problem. Three pressures sat on top of it:
- Records at scale. Thousands of profiles had to stay correct while guards joined, moved and left.
- Posts that never close. Guards work 8-hour and 12-hour shifts at client sites, with relief and replacement. Management must know who is where on any given day.
- Exact money. Hours, allowances and deductions turn into salary paid to thousands of bank accounts, while the company also invoices clients and keeps its own books.
What we built
One profile per guard
Personal and address details, education, military service record, training, next of kin, emergency contacts, security verification and bank account sit on one record. Existing data was brought in through bulk import.
Recruitment and onboarding
Ex-servicemen are taken in with rank, corps and trade captured from the first day. Training and verification are completed before the first deployment.
Deployment against client agreements
Guards are attached to client locations under each agreement. Attachment and detachment dates are kept as history, so deployed and undeployed strength is known for any date. Relief and replacement are handled in the same place.
Attendance, hours and payroll
Daily attendance and in/out sheets roll up into hours per guard and per post. Payroll then applies allowances, deductions and tax rules, with a salary hold for withheld payments. Guard payroll and office-staff payroll run side by side. For payroll needs like these in other companies, see our HR and payroll software.
Banking, clients and accounts
Bank-wise payments, cheque books and bank payment and receipt vouchers settle salaries. Client profiles, agreements and invoices with taxes and deductions sit alongside a four-level chart of accounts, cost and revenue centres, and a prepared-then-approved voucher workflow.
Fleet, stores and equipment
Vehicles carry fuel, oil and filter records. Store inventory tracks suppliers and damaged items, and equipment issued to guards and sites is recorded.
Roles, dashboards and a daily WhatsApp summary
Each role sees only its own modules. Managers get dashboards and exports, and a summary arrives on WhatsApp every day with invoices raised, pending recoveries, vouchers prepared and approved, guards deployed and undeployed, and bank, cash and liability balances.
How it works
- Recruit an ex-serviceman and capture his service details.
- Register the full guard profile, documents and bank account.
- Deploy him to a client post under an agreement.
- Attend: daily attendance becomes hours worked.
- Pay: payroll applies allowances, deductions and tax.
- Bank: salary is paid and the vouchers update the accounts.
What changed
- All offices now work in one system instead of separate processes.
- Attendance feeds payroll, and payroll feeds bank payments and the accounts.
- Managers receive the day’s figures without asking anyone for a report.

Questions
What is a security guard ERP?
It is software that runs the whole guard workforce: recruitment, records, deployment to client posts, attendance, payroll and bank payments. In the SSS system every module works from the same guard profile and feeds invoicing and the accounts.
Can one ERP handle 8,000 guards in several cities?
Yes. SSS runs more than 8,000 guards and supervisors on one system that links its head office with four regional and seven branch offices.
Does it pay guards through the bank?
Yes. Payroll uses attendance, allowances, deductions and tax rules, and salaries are paid to guard bank accounts through vouchers that post to the accounts.
How are guard deployments tracked?
Each guard is attached to a client location under an agreement, with dated history, so the company can see deployed and undeployed strength for any day.
Can this be built for our company?
Yes. Trades, shifts, allowances and approval rules can be configured for your workforce. See our custom software development and ERP software pages, or ask us for a free consultation.
